How to Handle Delayed Insurance When Accepting a Booking

When accepting a booking on Set Scouter, you will choose how to handle situations where the production’s Certificate of Insurance has not arrived yet. This ensures everyone understands what will happen if the certificate is delayed. Productions are expected to provide insurance before the shoot, but in rare cases paperwork can be delayed even when coverage is active.

When this applies
This setting only applies to insured productions booking locations that require insurance. It does not apply to uninsured productions or to bookings where the location does not require insurance.

Option 1: Increase Security Deposit if the Insurance Certificate Is Delayed

If the certificate has not been received before the shoot, Set Scouter will place an additional temporary hold on the producer’s payment method.

  • The additional hold can be up to the existing security deposit amount

  • It is placed one day before the shoot

  • It is released once the insurance certificate is provided

Option 2: Do Not Proceed Without an Insurance Certificate

If you choose this option, the production must provide a valid Certificate of Insurance before the shoot start time.

If the certificate is not provided in time:

  • The booking will be cancelled

  • The production will not be allowed to proceed at your property

  • These settings apply only to the specific booking you are accepting. You must choose an option each time you accept a production.
